General Terms
Notalis Notary & Apostille Services is a Texas-commissioned notary service and follows Texas law, recipient instructions, and industry standards.
We are not a law firm and do not provide legal advice. When document drafting is needed, we may coordinate with independent Legal Document Preparation partners. Separate partner fees may apply.
All signers must appear willing, aware, and able to sign in our presence, whether in person or online. We may decline service if a signer appears coerced, intoxicated, or unable to understand the document.
Names on identification must reasonably match the names on the document. Please bring any receiving party instructions if available.
Identification Requirements
All signers must present a valid government-issued photo ID (such as a driver license, state ID, or passport). IDs must be current or within the grace period allowed by Texas law and the receiving agency.
For Remote Online Notarization (RON), identity verification is completed on the platform prior to the session.
Witness Policy
Some documents require witnesses.
We can provide witnesses upon request: $30 per witness
You may bring your own witnesses
Witnesses must be disinterested, not named in the document, and must not benefit from it
If the receiving party has special witness rules, those rules control
Remote Online Notarization (RON)
Pricing:
Initial session $40 — includes platform access, identity analysis, digital signature and seal, and one notarization.
Each additional notarization: $25.
Technology Requirements:
You will need a camera-enabled device, stable internet connection, and a quiet environment.
Recording & Records:
RON sessions are recorded and retained as required by Texas law. The platform may capture credential analysis and knowledge-based authentication data to verify identity.
No-Shows:
If you miss the scheduled session or fail identity verification, the platform fee and reserved time are non-refundable. One reschedule within 7 days may be provided at no additional charge.
Mobile & In-Person Appointments
Travel Fees:
Travel and after-hours fees may apply and will be quoted at booking.
Wait Time:
A 15-minute grace period is included. Additional wait time may be billed in 15-minute increments.
No-Shows:
If we arrive and the appointment cannot proceed, travel and time charges apply.
Apostille & Legalization Services
Scope:
We prepare, submit, and track documents for international use. Documents may be presented to the Secretary of State or the U.S. Department of State when required. For countries outside the Hague Apostille Convention, we coordinate the full legalization process, which may include embassy or consulate steps.
What’s Included:
Our standard service includes state fees and courier handling. We pre-check documents to help reduce delays.
Additional Fees May Include:
Embassy or country fees for non-Hague countries
Federal agency fees
Shipping
Translation services
Timing:
All processing times are estimates. Government processing times, closures, mail delays, and embassy requirements may change without notice.
Pricing:
Standard service starts at $275 for 4–5 business day processing and includes travel, one document, and one notarization.
Each additional document: $100.
Rush options may be available.
Pricing, Payments & Refunds
Quotes:
Quotes are based on the information you provide and the receiving party’s written instructions. Changes in scope may affect pricing.
Payment:
Payment is due at booking or at the appointment. We accept major credit cards and approved digital payments.
Notary Services:
Once a notarization is completed, fees are non-refundable.
RON Platform Attempts:
Platform fees are non-refundable once identity verification has been attempted.
Apostille & Legalization Refunds:
Cancel before government submission → service fee refunded minus costs incurred
After submission → service fees non-refundable
Government, courier, and shipping fees already paid are non-refundable
Chargebacks:
Please contact us first for resolution. Invalid chargebacks may be sent to collections for the unpaid balance plus bank dispute fees.
Shipping & Handling
We can return documents via trackable courier or postal service. We are not responsible for delays, loss, or damage once the carrier accepts the package. Insurance may be added upon request.
Document Acceptance
We confirm requirements with recipients when possible and follow written instructions. Final acceptance is always determined by the receiving agency, school, lender, court, or embassy.
If a document is rejected due to our notarization error, Notalis Notary & Apostille Services will correct the notarization at no additional charge.
Rescheduling & Cancellations
Client Reschedule:
One free reschedule is allowed with at least 12 hours’ notice. Less than 12 hours may incur a reschedule fee.
Provider Reschedule:
If we must reschedule, we will offer the next available time or refer you to a trusted partner.
Weather or Emergencies:
Safety comes first. We will coordinate the earliest practical alternative.

Signers must understand the document they are signing. If an interpreter is required by the receiving party, please arrange one in advance.
Partnerships & Referrals
We may coordinate with independent Legal Document Preparation partners upon request. Those services are provided under the partner’s own licenses and policies.
